Apartment approval time depends on the property, the completeness of your application, and the checks still outstanding. Ask the manager for its expected review period and what event starts that period. Submission, a completed screening report, an approval decision, and permission to move in are different milestones. A pending portal message alone does not establish approval or denial.

Reviewed October 23, 2026 · U.S. rental applications. The timeline below is fictional, not a national average, property promise, or legal deadline. State, local, and housing-program requirements can differ.

A useful update should tell you what stage the application has reached, whether something is missing, who has the next action, and when to expect another update. That information helps you make a housing plan more reliably than an unexplained estimate.

This guide focuses on a pending application. If you have already received a negative screening decision, see our rental-denial guide for the report-review process.

How many days should you allow for apartment approval?

Use the property’s estimate for your particular application, with its stated assumptions. This guide does not establish a nationwide turnaround figure. A quoted number is less useful when you do not know whether it means calendar days, business days, or days after every required document arrives.

Before paying an application fee, ask what information is considered and which records you must supply. The FTC’s tenant-background-check guidance recommends asking about the landlord’s decision criteria before paying a screening or application fee.

Then ask how progress is communicated. Does the portal show that documents were uploaded, or that someone reviewed them? Who can answer a status question? Does the estimate include reference responses and every proposed occupant’s paperwork?

A unit-availability waiting list is also different from reviewing a completed application for a specific available home. For subsidized housing or a voucher-related process, ask the responsible program office about its separate steps; a private property’s estimate should not be treated as that program’s timetable.

What do the application status messages actually mean?

Ask the manager to define its own labels. The following is an original tracking framework, not a set of terms every property uses.

A practical way to distinguish rental-application milestones
MilestoneWhat it can establishWhat still needs confirmation
ReceivedThe application reached the property or portal.Whether it has been checked for completeness.
Complete for reviewThe manager says the required submission items are present.Whether external checks and references are finished.
Screening in progressAn identified verification or report is outstanding.Which item, who owns it, and the next update date.
Decision communicatedThe manager has given an outcome or stated conditions. The exact conditions and whether they are satisfied.
Lease and move-in arrangedThe parties have addressed the written agreement and handover steps. The actual possession date, keys, payments, and unit readiness.

For example, “screening complete” may describe a report vendor’s work while the property is still considering the file. “Approved with conditions” may require additional action. Ask for the precise meaning instead of assuming a label authorizes you to collect keys.

Keep the property address, unit, application reference, date, contact name, and status wording together. This is especially useful when more than one staff member responds.

Track a complete application, outstanding checks, and the communicated decision as separate stages. The lease and permission to take possession still need their own confirmation.
A status update is useful when it identifies both the completed step and the next action.

How can you confirm that your application is complete?

Request confirmation against the property’s checklist. A successful upload does not prove that a page was legible, that the date range was correct, or that every required applicant completed their section.

  1. Match the applicant details. Check spelling, prior addresses, and contact information against the genuine records.
  2. Check document coverage. Supply the requested periods and pages, using the accepted secure process.
  3. Identify all required submissions. Ask whether another adult or proposed cosigner has an outstanding task.
  4. Confirm references. Provide current, accurate contact details and tell the reference a legitimate inquiry may arrive.
  5. Ask for a completeness date. Record when the manager considers the file ready for review.

Do not replace an employer’s authentic statement with invented wages or change dates to make records appear current. If a document contains an error, ask the issuer to correct it and tell the property what is being resolved.

If the issue is an absent credit history, ask about the actual no-score policy rather than assuming more elapsed days will solve it. Our first-apartment guide for renters without credit history explains how to discuss accepted evidence.

What might still be happening during screening?

The CFPB describes tenant screening reports as potentially including credit information, rental history, employment verification, criminal history, and a recommendation or risk score. Which components apply depends on the review.

Ask about the specific unresolved item. Is the property waiting for an employer response, a prior landlord, a document clarification, or a report? Those questions direct your effort to a real task instead of encouraging repeated uploads of the same information.

The CFPB’s report-review guidance also explains how to look for incorrect or outdated information. If a possible mismatch is identified, keep the supporting records and use the reporting company’s correction process. Do not assume the property can instantly change information held by a separate company.

Ask the manager whether review can continue while a specific issue is clarified and what evidence it will consider. A reference reply or corrected report helps resolve an item; neither by itself guarantees a favorable decision.

How do calendar days and business days change the timeline?

Consider this fictional application log. Suppose a property says its review begins when the file is complete, counts that first business day as day one, and expects three business days. Assume no relevant holiday and ordinary Monday-through-Friday business days.

Fictional October 2026 application log; not an approval-time benchmark
DateRecorded eventMeaning for this example
Friday, October 23Application submitted in the evening.Submission date only; completeness not confirmed.
Monday, October 26Manager confirms a complete file.Hypothetical business day one.
Tuesday, October 27A reference responds.Hypothetical business day two.
Wednesday, October 28Manager communicates a decision.Hypothetical business day three.

Five calendar days elapsed between October 23 and October 28. Under the stated counting method, Monday through Wednesday are three business days. Another property could use a different starting point or count, so ask how its estimate works.

The decision date in this example is not the lease-signing date or the move-in date. The example does not say whether the applicant was approved, what the lawful terms were, or when the home became available.

The fictional application is submitted Friday October 23, confirmed complete Monday October 26, and receives a decision Wednesday October 28. Five calendar days elapse; Monday through Wednesday are three business days under the example’s counting assumptions.
Record the starting event as well as the number of days quoted.

What should you say when an apartment application is pending?

Follow up at the property’s stated update point. If none was provided, ask for one. Use one clear message with the application reference and specific questions; avoid resending sensitive documents to multiple addresses.

Hello, I applied for [unit/address] on [date], reference [number]. Could you confirm whether my file is complete and which date your review period starts? If something is outstanding, please identify the item, the action needed from me, and the secure submission method. When should I expect the next status update? My preferred move-in date is [date]. Thank you.

Save the response. If the property identifies a missing page, reply to that request and keep the submission confirmation. If the issue is outside your control, ask who is following it up and whether there is an alternative genuine record the reviewer can consider.

Turn a vague pending message into an actionable question
Status you are givenUseful follow-upRecord to keep
Waiting for documentsWhich exact item and date range are missing? The checklist and secure submission receipt.
Waiting for a referenceWhich reference and what contact details were used? The confirmed contact and response status.
Under reviewIs the file complete, and when is the next update? The review start and promised update date.
Approved with conditionsWhat conditions remain, and how are they satisfied? The written conditions and confirmation of completion.
Ready to signWhat are the lease start and key-handover arrangements? The final agreement and itemized payment instructions.

Does approval mean you can move in immediately?

Confirm the lease and possession arrangements separately. Ask about the exact unit, lease start, any outstanding conditions, required payments, and key handover. Keep written confirmation of what has been agreed.

If a cosigner is requested, understand that person’s actual obligations before proceeding. Our apartment-cosigner guide discusses the questions to ask. A report-based cosigner requirement may also be an adverse action, as described below.

If the proposed start date changes, ask how initial rent is calculated. See our prorated-rent examples for comparing stated calculation methods; the signed terms and applicable local rules still matter.

Verify the property and payment recipient before sending money. The FTC’s rental-scam guidance warns that copied listings can substitute a scammer’s contact details. Urgency to pay does not establish that an application was approved or that the person can rent the property.

What if the wait leads to extra fees or a negative screening decision?

Ask what each charge covers, when it becomes due, and whether it is refundable. Do not assume a fee is lawful everywhere because another property charges it. For a location-specific example, the New York Attorney General’s residential guide states that credit/background-check charges cannot exceed $20 and describes related invoice and report requirements. That New York rule is not a national cap.

If a landlord takes adverse action because of a tenant screening report, the CFPB explains the required notice and report rights. Adverse action can include rejection or certain less favorable terms, such as a required cosigner or larger deposit. That notice must give the reporting company’s contact details, describe error-dispute rights, and explain how to obtain a free report by requesting it within 60 days of the adverse action.

A reporting company’s dispute investigation is a separate process from the property’s application review. Do not interpret its investigation period as a guaranteed landlord-decision deadline. For a possible rights violation, use the CFPB complaint process or seek local tenant or legal assistance.

Frequently asked questions about apartment approval time

Does a pending status mean my application was denied?

It does not establish either outcome. Ask the property which stage is pending and whether it needs an action from you.

Do weekends count toward an apartment review estimate?

Ask whether the estimate uses calendar or business days, what starts the count, and how weekends or holidays are handled.

Can a complete application still require more review?

Yes. Completeness can mean the submission items are present while references, verification, or the decision remain outstanding.

Will supplying extra pay stubs guarantee faster approval?

No. Supply the genuine records and periods requested. Extra files do not resolve every screening issue or guarantee a decision.

Should I pay another fee to speed up the process?

Ask what the charge does, whether it is lawful locally, and whether anything is actually promised. Verify the property and recipient before paying.

Can I book movers as soon as the portal says approved?

Confirm the exact lease, remaining conditions, possession date, and handover arrangements before relying on that status for a move.
