An employment verification letter is an employer-issued statement confirming specified facts about an employee, such as job title, start date and current status, as of a stated date. To prepare one, confirm the request, use the employer’s records, include only authorized details, and have the appropriate representative review and sign it. The Check Stubs Online letter builder formats those entries into a PDF; it does not independently check employment or guarantee that a recipient will accept the letter.

Reviewed October 29, 2026 · U.S. employer-letter preparation. The sample people, business and figures below are fictional. Disclosure rules, employer procedures and the recipient’s requirements depend on the circumstances.

A useful verification letter answers a specific request in a few clear paragraphs. It identifies the employer, explains what the records support and provides an appropriate contact for follow-up. Adding more personal information does not necessarily make it more useful.

This guide walks through the Employment Verification Letter builder, including optional compensation and the signature choices. For an explanation of how requesters evaluate evidence, see our separate employment verification process guide.

What should an employment verification letter confirm?

Let the actual request determine the scope. A recipient might need current employment and a start date, while another asks for a pay rate and recorded earnings through a specific date. Confirm the required facts, how recently the letter must be issued and whether the employer must send it directly.

Use wording that distinguishes current employment from past service. A former employee’s letter should identify the relevant employment dates rather than imply that the person still works there. A future start date belongs in an appropriately described offer or planned-employment record, not a statement that work has already begun.

Choose details according to the letter request

A lender may need additional verification even when a letter is accurate. Fannie Mae’s current employment-verification guidance describes lender responsibilities and verification methods for the loans within its scope. Ask your own recipient what it requires; a privately prepared letter does not override its review process.

Also distinguish this document from Form I-9. The Department of Justice explains that Form I-9 concerns identity and employment eligibility at hiring. An employment-status letter does not perform that process or replace its required documents.

What should you have ready before creating the letter?

Start with the employee’s request or the recipient’s instructions, then confirm who may release the information. An employee can collect the requirements and ask HR for help. The employer’s authorized representative should approve the employer-issued statement and apply their own signature.

Do not assume that a generic request authorizes disclosure of every payroll detail. If instructions are vague, clarify them before entering sensitive information. The FTC’s business privacy guidance recommends limiting personal information to legitimate needs and protecting access to retained records. An ordinary employment letter generally has no reason to reproduce bank account details or a full Social Security number.

Prepare an employment letter by confirming the recipient’s request, matching the statements to employer records and obtaining the authorized representative’s review.
Agree on the requested facts before building the letter, then verify the wording against the employer’s records.

How do you complete the Employment Verification Letter builder?

1. Identify the company and authorized representative

Enter the employer’s name, the representative’s name and job title, and a company phone number or email address. The builder requires at least one of those contact routes. Use a genuine business contact that the representative is authorized to provide.

The company address and logo are optional. The current logo uploader accepts PNG or JPG files up to 2 MB. Use approved artwork and inspect its appearance in the preview. Letterhead supports recognition; it does not establish authority by itself.

2. Add the employee’s actual employment details

Enter the employee’s name, job title and employment start date. The current status choices are Full-time, Part-time, Temporary and Former employee. Choose the entry that accurately reflects the record. A former-employee entry calls for the employment end date.

Optional fields let you add department, average weekly hours and an in-office, hybrid or remote arrangement. If an option would oversimplify the circumstances, use carefully reviewed additional wording or follow the employer’s own document procedure. Do not select an inaccurate status simply to complete the screen.

3. Include compensation only when it belongs in the response

The compensation section is optional. When included, the builder provides an amount and a rate period: per year, month, week or hour. Payment frequency is a separate optional entry, with weekly, every-two-weeks, twice-monthly and monthly choices.

You can also enter recorded year-to-date earnings and their as-of date. The tool does not calculate earnings for you. Confirm the figure and what it measures using the appropriate payroll record before adding it.

4. Set the letter date, recipient and additional wording

Use the actual intended issue date. Enter the recipient’s name or organization when known; leaving that field blank uses “To Whom It May Concern.” Add a recipient address only when appropriate.

The additional-wording field accepts paragraphs, with a blank line starting a new paragraph. Longer letters continue onto full-size pages. Use this space for necessary clarification, not unsupported promises about future employment, mortgage approval or the employee’s character.

5. Complete the representative’s review

The builder asks the issuer to confirm that they are authorized and have checked the information against the employer’s records. Make this a substantive review. Someone’s ability to enter a company name or upload a logo does not authorize them to make a statement on that employer’s behalf.

How should pay be described without confusing rates and earnings?

A pay rate, a payment frequency and earnings already recorded answer different questions. Keep their units and dates visible. An hourly rate describes compensation for an hour; it does not confirm that a particular number of hours will be worked throughout the year.

Consider a fictional employee, Avery Chen, whose current base rate is $29.50 per hour and whose usual schedule is 35 hours weekly. Multiplying those figures gives $1,032.50 for a 35-hour week before deductions, assuming all those hours are paid at that base rate. That calculation does not establish actual earnings for every week or authorize an annual-income claim.

Keep fictional pay facts separate
Record or calculationFictional figureAppropriate description
Current base rate$29.50/hourIdentify the hourly unit and effective context.
Usual schedule35 hours/weekA supported schedule, without guaranteeing future hours.
Illustrative weekly multiplication$1,032.50$29.50 × 35; an illustration, not an issued pay record.
Recorded YTD gross earnings$33,520.75A separate fictional payroll total through September 30, 2026.

The year-to-date amount in this example is assumed to come from a payroll record; it is not derived by multiplying the current rate by elapsed weeks. If the record includes overtime, bonuses or a rate change, the current base rate will not explain the whole total. Use our gross annual income guide when you need to distinguish an annualized rate from actual annual earnings.

Keep the hourly pay rate, usual weekly schedule and separately recorded year-to-date gross earnings distinct when drafting an employment verification letter.
The current rate, usual schedule and recorded earnings should remain separate, clearly labelled statements.

What does a clear employment verification letter look like?

The following original sample illustrates a narrowly scoped response. All identities and amounts are fictional. It assumes that the employer has approved the disclosure and that its records support each statement. Replace sample language only with facts the authorized issuer can confirm.

Fictional example: Cedar Field Services

October 29, 2026

To the application review team:

At Avery Chen’s request, this letter confirms that Avery has been employed by Cedar Field Services as an Operations Coordinator since February 12, 2024. Our personnel records show Avery as a current full-time employee as of October 29, 2026.

As authorized for this request, Avery’s current base pay rate is $29.50 per hour. The usual weekly schedule is 35 hours. Our payroll records show year-to-date gross earnings of $33,520.75 through September 30, 2026.

These statements describe the records and dates identified above. Questions concerning this letter may be directed to the company contact supplied by the authorized representative.

Sincerely,

[Authorized representative’s own signature]
Morgan Ellis
Human Resources Manager
[Approved company contact]

Notice the separate letter date and earnings cutoff. They need not be identical, but the difference must be clear. If the recipient requires newer earnings, obtain an updated payroll total rather than changing the cutoff date on an older amount. For a status-only request, omit the compensation paragraph entirely.

How do you review the layout and sign the letter?

The builder currently offers Classic, Modern and Formal layouts, accent-color choices and modern or traditional font styles. Choose a readable combination and review every preview page, including any continuation page created by extra wording. Check that the signature block remains understandable and that long names or addresses are complete.

The representative can choose Print and sign later or Draw my signature. With the print-later choice, the signature and signing date remain blank while the printed name appears beneath the signature line. With the drawing option, the representative draws their own signature, supplies the signing date and explicitly applies it.

Do not draw someone else’s signature or treat a typed representative name as their approval. Confirm the recipient’s signature requirements before ordering. Whether a particular recipient accepts a drawn signature depends on its process and the circumstances; the builder does not promise acceptance.

Check the PDF price and current checkout terms separately. The purchase prepares the document; it does not contact the employer, perform a background check or submit the letter to a lender, landlord or agency.

How should you share, correct and retain the completed letter?

Use the recipient’s agreed route after the authorized representative has completed the letter. If the recipient requires direct delivery from HR, follow that instruction. Do not substitute an applicant-forwarded copy and describe it as independently transmitted by the employer.

Checkout sends a private document-access link to the order email. The issuer decides how to share the completed document. Keep editing, order and saved-draft links private; the builder warns that someone holding a resume link can view the saved details.

If an error is found, ask the authorized issuer to review it and issue the appropriate correction. Keep the earlier version identifiable and make clear which response replaces it. An employee should not alter a signed employer letter to change pay, dates or status.

Store the final response and the related approval under the employer’s applicable record procedure, with access limited to those who need it. Our payroll digitization guide explains practical organization and access considerations for supporting records.

A separate background-report process may carry separate rights. For example, the FTC explains written-permission and notice requirements when employers obtain reports from background reporting companies. Do not assume that an ordinary letter and a third-party screening report are interchangeable.

Employment verification letter questions

Can an employee prepare the initial draft?

An employee can gather the request and propose a draft if the employer permits it. The employer’s authorized representative must check and approve the employer-issued statements. Do not release a draft as though HR has confirmed it.

Does the letter have to include salary?

Include compensation when the request requires it and disclosure is authorized. A letter confirming only status, title and dates may be appropriate for another request. Confirm the recipient’s needs before adding pay details.

Does this builder verify employment automatically?

No. It formats the details entered by the issuer. The issuer confirms those details against employer records, while the recipient may carry out its own verification.

Can I prepare a letter for a former employee?

The builder includes a Former employee status. Use accurate start and end dates and review the resulting wording so the letter does not imply current employment. Follow the employer’s release procedure.

Will the letter guarantee apartment or mortgage approval?

No. A letter answers the defined employment questions supported by its entries. The reviewer applies its own documentation and eligibility requirements and may request additional evidence.

Can I leave the signature blank and sign after printing?

Yes. Choose Print and sign later, inspect the signature block, and have the authorized representative sign through the required process. Confirm whether the recipient requires a particular signature format or direct employer delivery.
