Use a 1099-NEC generator to prepare a payer’s nonemployee-compensation statement from actual business payment records and the recipient’s correct taxpayer information. In the Check Stubs Online builder, select 2025 or 2026, review the payer, recipient, annual compensation and applicable withholding, then inspect the copies. The PDF order does not file with the IRS. Reporting rules and some fields differ between the two years, so choose the year before entering figures.
Reviewed October 29, 2026 · U.S. payer preparation for the builder’s available 2025 and 2026 forms. The payment example is fictional. Reporting exceptions, worker status, payment method and state requirements need review before a form is issued.
A Form 1099-NEC should reconcile to the payments the business made, not a contractor’s quoted annual rate or an unpaid invoice total. Organize the evidence first, then use the document tool to present the reportable information.
This guide walks through the Check Stubs Online 1099-NEC builder. For the broader distinction between payment categories, read 1099-NEC versus 1099-MISC.
When does a business generally need Form 1099-NEC?
Confirm that the payment falls within the nonemployee-compensation reporting rules for its year. The IRS’s contractor-payment guidance describes the ordinary conditions: a payment for services in the course of a trade or business, to a nonemployee, with the applicable payee and annual reporting conditions satisfied.
Do not apply the form to every personal payment or assume that every corporation is treated identically. Review the recipient type and any exception before deciding which reporting document applies.
| Payment year | General threshold | Qualification |
|---|---|---|
| 2025 | $600 or more | Ordinary reportable business service payments; review exceptions. |
| 2026 | $2,000 or more | Ordinary reportable business service payments; review exceptions. |
| Backup withholding applies | Regardless of payment amount | Separate reporting requirement when federal tax was withheld under those rules. |
The year-specific service thresholds are confirmed in the IRS’s 1099-NEC FAQs. The IRS information-return overview also identifies the backup-withholding exception. A reporting threshold is not an amount of income that the recipient may automatically ignore on a tax return.
Match the form edition to the reporting year. The official April 2025 revision and December 2026 revision have differences. The IRS explains that information-return editions can be released in advance for use with the specified calendar year.

How do you reconcile the annual payments?
Group genuine payments by recipient and calendar year. Use payment dates, confirmations and the business ledger to identify amounts actually paid. Keep invoice references so the payment history remains traceable without counting unpaid charges as completed payments.
If the reporting year is still in progress, distinguish a working YTD reconciliation from the complete annual total. Review later payments, reversals and adjustments before issuing the final annual statement.
Check payment method separately. Under the IRS’s 1099-MISC/1099-NEC instructions, payment-card and qualifying third-party network transactions covered by the Form 1099-K rules are excluded from the payer’s 1099-NEC reporting. Do not assume that every transfer made through an app has the same reporting treatment; identify the actual transaction type.
Consider this fictional 2026 example. A business pays a qualifying service provider three ordinary direct payments, with no backup withholding. Assume the payments are reportable under the ordinary service rules and no entity or other exception applies.
| Record | Amount | Treatment in this example |
|---|---|---|
| First confirmed direct payment | $850.00 | Included once. |
| Second confirmed direct payment | $725.00 | Included once. |
| Third confirmed direct payment | $625.00 | Included once. |
| Annual reportable service total | $2,200.00 | $850 + $725 + $625; meets the general 2026 threshold. |
| Separate unpaid invoice | $600.00 | Not included as a payment made. |
The $2,200 figure is the service-payment total under these assumptions. Do not subtract the recipient’s unrelated business expenses to create a guessed profit figure. A payer’s information return and the recipient’s business tax calculation serve different purposes.

How do you enter the payer and recipient information?
The payer is the person or business that made the payments. Enter its actual reporting name, taxpayer ID type and number, and address. Use the identity associated with the business records rather than a shortened brand name that obscures the reporting entity.
The recipient is the person or business paid. The builder directs you to the name and TIN on the recipient’s Form W-9. Check the tax-reporting name instead of assuming the name on an invoice logo is always the correct taxpayer name.
Select the appropriate ID type and compare every digit with the authorized record. If the information is missing or inconsistent, obtain the proper clarification. Do not invent a number or assume that a required field can be satisfied by an unrelated account reference.
Keep taxpayer details and private order access restricted. A completed recipient copy and an editable saved-order link have different purposes. Share the intended document through the appropriate delivery route.
What should you enter for compensation and federal withholding?
Enter the actual reportable annual compensation for the selected year. The main compensation entry corresponds to Box 1 on the 2025 form and Box 1a on the revised 2026 form. Review the selected form preview instead of assuming the numbering is identical.
The builder does not estimate or automatically deduct tax from the payment amount. Its federal-withholding entry is for actual backup withholding recorded by the payer. If none was withheld, do not create an amount merely because the recipient may owe income tax.
Conversely, zero in a withholding field does not establish that no withholding obligation existed. Review any missing-TIN or other backup-withholding issue through the applicable IRS process. Do not use the PDF field as a substitute for determining, depositing or correcting required withholding.
If a vendor received multiple payments, reconcile all relevant accounts and payment routes before finalizing the annual total. Check for duplicate ledger entries, a reissued payment, a reversal or an amount already included through another recorded transaction.
What additional details appear for 2026?
The 2026 builder adds cash-tip, Treasury Tipped Occupation Code and qualified-overtime entries. These describe portions or characteristics of compensation already included in the main total; they are not extra payments to add a second time.
Use the actual reporting records and applicable instructions for the tip amount and occupation code. The tool supports up to two occupation codes and points to the IRS list. Do not choose a code simply because a job title sounds similar.
The overtime field concerns the qualifying premium portion described in the rules, rather than all wages paid for extra hours. Completing that entry does not determine worker status or deduction eligibility. The fact that the field exists is not evidence that every contractor has qualified overtime.
Check that the 2026-specific entries have not been copied onto the 2025 form. The tool’s year selector changes the reporting context; use the year that actually matches the payments.
How do you review special entries, state information and corrections?
The direct-sales checkbox has its own condition: qualifying consumer-product sales of $5,000 or more for resale. It is distinct from the ordinary service-payment threshold. Select it only when the transaction actually meets the stated reporting condition.
The optional excess-golden-parachute field is for an actual reportable excess amount supported by the relevant calculation. The builder asks for the reportable excess already included in the main compensation total; do not add it twice. It is not a general place for a large fee, bonus or severance payment. Follow the applicable special-reporting instructions when that situation exists.
An account number can distinguish the relevant account or record where appropriate. It is separate from the recipient’s TIN. The state section supports up to two states and uses actual state payment and withholding records; a state ID is not the payer’s federal EIN.
The CORRECTED choice marks the prepared document as replacing an earlier statement. It does not transmit a correction to the IRS. If an original was already filed, follow the proper correction procedure and retain the reporting history. Do not assume that another PDF purchase changes the government’s records.
Which copies are included, and how is filing handled?
The current product includes the six original pages, with Copies 1, B and 2 filled and red Copy A left blank. Government filing is excluded. Review the recipient’s copy, state information and the year on the actual PDF before distribution.
Use the official filing rules for the year. The 2025 instructions and current instructions use January 31 for the general IRS filing and recipient-statement deadline, with the next-business-day rule when applicable. The general date for 2025 payments was February 2, 2026. For 2026 payments it is February 1, 2027, because January 31 falls on Sunday. Check state obligations and any applicable relief separately.
The IRS offers a separate Information Returns Intake System. Check its current access and filing instructions, and any obligation to file electronically based on the aggregate number of information returns. The PDF builder does not enroll you in that system or submit through it.
Inspect the current checkout price and terms as a document purchase. Keep the completed statement, its supporting payment records, distribution evidence and actual filing confirmation together. A private download link is not an IRS acceptance confirmation.
1099-NEC generator questions
Is the general threshold still $600 for 2026 payments?
No. The IRS states a $2,000 general service-payment threshold for 2026, compared with $600 for 2025. Review exceptions, including reporting when backup withholding occurred.
Should an unpaid invoice be added to the annual payment total?
Do not describe it as a payment made. Reconcile the actual transactions for the reporting year. The fictional $600 unpaid invoice is kept separate from $2,200 of confirmed payments.
Does the generator calculate the recipient’s taxes?
No. The compensation and actual withholding entries are prepared from records. The recipient’s income tax, business expenses and self-employment tax are separate calculations.
Can I use the same field layout for 2025 and 2026?
Review the correct edition. The revised 2026 form has additional fields, and the main nonemployee-compensation box is numbered differently. Select the year before entering and reviewing the amounts.
Will marking CORRECTED amend an already filed return?
No. It marks the prepared document. Complete the IRS’s required correction process separately when the reporting history requires it.
Can the PDF’s blank red Copy A be filed with the IRS?
No. This package does not provide a completed IRS-fileable Copy A or perform filing. Use the appropriate separate electronic or paper procedure and the applicable official requirements.
The Check Stubs Online Editorial Team reviewed the live year-specific builder and linked IRS sources. The original example was checked independently: $850 + $725 + $625 = $2,200; the separate $600 invoice is unpaid. The February 1, 2027 general filing date follows the instructions’ weekend rule and calendar, subject to applicable exceptions or relief.
