The Check Stubs Online W-2 Generator currently prepares a tax-year 2025 PDF from employer, employee, annual wage and withholding entries. Use the employee’s actual annual payroll totals, review the boxes and included copies, and handle government filing separately. The package fills Copies 1, B, C, 2 and D; its red Copy A remains blank and is not suitable for SSA filing. Preparing this PDF does not submit a W-2 or replace the employer’s reporting responsibilities.

Reviewed October 29, 2026 · This walkthrough covers the builder’s currently available 2025 form, not a 2026 W-2. The worked payroll example is fictional and assumes a simple traditional 401(k) deferral with no other wage-base adjustments.

A W-2 needs more than an annual salary and a professional appearance. It must describe the wages and withholding that the employer’s records support for the particular reporting year. Begin by identifying the year, employee and intended copies before entering an amount.

This guide follows the Check Stubs Online W-2 builder. It is written for an employer or someone authorized to prepare the employer’s statement. Employees who need a missing or corrected employer-issued W-2 should contact the employer first; the IRS explains that process in Topic 154.

Which year and reporting task does this builder cover?

The live tax-year selector currently contains 2025 only. Use it for the year printed on the form. A review performed during 2026 does not turn a 2025 statement into a 2026 form, and changing a date elsewhere does not change the form edition.

The IRS’s Form W-2 overview describes employer wage-reporting obligations. An employee’s annual wage statement and a contractor payment record serve different reporting purposes. If the worker’s treatment is uncertain, settle that question before choosing a form; a generator’s fields do not determine worker status.

Identify whether you are preparing an original statement, obtaining another copy of a statement already issued, or correcting information previously reported. Those tasks can require different steps. Keep the reporting history with the payroll records rather than treating every new PDF as a new original.

For the current walkthrough, the relevant official reference is the 2025 W-2/W-3 instructions. They list February 2, 2026 as the general SSA filing and employee-furnishing deadline for 2025 statements. Preparing a document later does not create a new deadline or by itself resolve late filing.

For the current W-2 builder, confirm tax year 2025 and actual payroll records, inspect the filled recipient and record copies, and arrange SSA filing through a separate proper channel.
Confirm the year, review the copies, and treat SSA submission as a separate task.

What payroll records should you collect?

Use the employer’s year-end payroll register, employee identification record, wage-base totals, actual withholding and relevant benefit or contribution reports. Reconcile the records before transferring figures into the form.

An annual salary rate is not necessarily the amount paid during the year. A midyear hire, unpaid leave, bonus or compensation change can alter the annual record. The final pay stub can be a useful reconciliation reference, but verify the year-end adjustments and each taxable-wage category rather than copying one gross figure into every wage box.

Our employee pay stub maker guide explains period totals and YTD starting positions. For the W-2, use the completed annual reporting records, not an estimate created by projecting a recent paycheck across the whole year.

How do you complete employer and employee details?

Enter the employer’s business name, EIN and address. Keep the federal EIN distinct from the employer’s state ID. The builder’s state-ID prompt explicitly notes that those identifiers are different; use the actual state reporting reference for the relevant payroll record.

Do not invent an identifier to get past a required field. If the company’s records do not supply the requested state information, establish the appropriate reporting treatment before completing the form. Our employer EIN guide describes ways to locate a genuine existing identifier.

Enter the employee’s full name and check the optional name-detail fields when the first or last name has multiple parts or a suffix. Read the resulting first-name, middle-initial, last-name and suffix placement in the preview. A full name displayed neatly on screen can still be split incorrectly across the reporting fields.

The completed W-2 uses the employee’s full nine-digit SSN. Handle it through the employer’s authorized records and keep the document and private order access secure. Do not use invented example identifiers in a real employee’s statement.

Should you choose “Enter payroll totals” or “Calculate for me”?

Use actual annual payroll totals for the statement you intend to issue. The builder offers an Enter payroll totals route and a Calculate for me route that estimates amounts from annual earnings and selected settings. Estimates are editable and need to be checked against records.

In estimation mode, the earnings prompt asks for the amount actually paid during 2025, not the annual salary rate. The optional additional-earnings control is for amounts not already included. Adding the same bonus both in the earnings total and again as an extra would count it twice.

The calculation settings include payment frequency, paid periods, filing status, W-4 version and relevant adjustments. State elections appear for the selected tax state. The page describes a regular-pay, one-state assumption; for cross-state payroll it directs users to actual payroll totals.

Do not treat a reasonable-looking estimate as proof of historical withholding. An estimate based on one salary and filing status may not reproduce a year containing changing elections, special payments, multiple jurisdictions or corrections. Check each annual amount, and use the employer’s actual records wherever the estimate differs.

Changing a W-2 entry also does not change what was actually withheld or deposited. Resolve an underlying payroll discrepancy through the employer’s payroll process rather than silently rewriting the document to make the year look different.

Why can W-2 wage boxes contain different totals?

Different wage categories can have different treatment, so the boxes should not be forced to match. For example, the IRS’s retirement-contribution reporting explanation distinguishes pre-tax salary deferrals from Social Security and Medicare wages. The plan type and contribution treatment matter.

Consider a fictional employee with $62,000 of gross wages and a $4,000 traditional pre-tax 401(k) elective deferral. Assume the employee’s wages are otherwise fully reportable in the relevant wage categories, below the applicable Social Security wage limit, with no other adjustments. The simplified reconciliation is:

Fictional traditional 401(k) wage-base reconciliation
Record or form entryFictional amountReason for the distinction
Gross wages in the record$62,000.00Starting compensation under the example’s assumptions.
Traditional elective deferral$4,000.00The assumed pre-tax 401(k) contribution.
Box 1 wages$58,000.00$62,000 less the assumed $4,000 pre-tax deferral.
Box 3 Social Security wages$62,000.00The assumed deferral does not reduce this wage base.
Box 5 Medicare wages$62,000.00The assumed deferral does not reduce this wage base.
Box 12, code D$4,000.00The traditional 401(k) elective deferral in this example.

The 2025 instructions identify code D for the applicable 401(k) elective deferrals. A designated Roth contribution uses different treatment and reporting; do not apply this example to every retirement contribution. Check the plan records and correct code.

Withholding belongs in its own boxes. Boxes 2, 4 and 6 report federal income, Social Security and Medicare tax withheld, respectively, as shown on the official 2025 form. Neither the $4,000 contribution nor the $58,000 wage total is itself a tax-withholding amount.

In a fictional traditional pre-tax 401k example with 62,000 dollars gross and 4,000 dollars deferred, Box 1 is 58,000 dollars, Boxes 3 and 5 are each 62,000 dollars, and Box 12 code D is 4,000 dollars.
Different boxes answer different reporting questions. The example’s assumptions are essential to the result.

What else needs review beyond the main wage totals?

The builder supports up to four Box 12 code-and-amount entries, the three Box 13 selections, and up to three short Box 14 entries. Use the actual payroll and benefit records to identify what belongs there.

A Box 13 selection should reflect the applicable reporting facts, not whether a checkbox makes the statement look complete. Review the retirement-plan determination and other special statuses under the relevant instructions. Do not select every option by default.

The state/local section allows up to two rows. Review the jurisdiction, employer state ID, wages and withholding for each applicable entry. A state wage figure is not automatically identical to every federal wage figure, and a local withholding entry needs its own supporting record.

If the employee’s situation needs information that the tool cannot represent, follow the appropriate reporting process rather than omitting a material entry. A limited number of rows or fields is a product capability, not permission to leave required information out.

Which copies are included, and what must be filed separately?

The current package contains all 11 original pages, with Copies 1, B, C, 2 and D filled. Red Copy A stays blank. Check the actual copy labels in the downloaded document before distribution or retention.

The official form warns against printing its downloaded red Copy A for SSA submission. Use the SSA’s current employer filing information for the appropriate wage-reporting service and access instructions. Check any applicable electronic-filing obligation and related transmittal requirements separately.

Review the current PDF price and checkout terms before ordering. The purchase does not submit forms, send employee copies through your payroll distribution procedure or verify an employee’s identity with SSA. Keep private editing and order links restricted to authorized people.

What if records are missing or a previously reported amount is wrong?

When the employer’s annual totals are incomplete, obtain or reconcile the payroll records before issuing the statement. The final document should not be based on a guessed annual salary, an invented EIN or a desired tax refund.

For an employee missing an employer-issued form, contact the employer or payer and follow the IRS’s missing-document procedure. Our tax software and missing documents guide discusses preparing carefully while the genuine records are being obtained.

If information previously filed with SSA needs correction, examine the appropriate correction procedure. The IRS’s W-2c overview identifies that form for correcting previously filed wage statements and providing corrected statements to employees. A fresh ordinary W-2 PDF should not be assumed to complete that task.

For general differences between common annual tax documents, see W-9 versus W-2. Keep taxpayer identification, payroll reporting and an employee’s personal income-tax return as distinct steps.

W-2 generator questions

Can this builder prepare tax year 2026?

At the October 29, 2026 review, the live selector offers 2025 only. Use a tool and official form edition supporting the year you actually need; a 2025 form cannot be relabelled by changing another field.

Does the W-2 PDF include an SSA-fileable red Copy A?

No. The current product leaves red Copy A blank and says it is unsuitable for SSA filing. Arrange submission through the correct separate process.

Should I enter the annual salary or wages actually paid?

Use actual annual payroll reporting records. The estimation route also asks for earnings paid during 2025, not the nominal annual salary rate. Check each wage and withholding box before issue.

Why is Box 1 different from Boxes 3 and 5?

Wage categories can differ because of specific tax treatment. In the limited traditional 401(k) example, a pre-tax deferral reduces Box 1 while remaining in the assumed Social Security and Medicare wage bases. Other arrangements need their own review.

Can an employee generate a replacement for a missing employer form?

Ask the employer for the genuine missing or corrected statement and follow IRS guidance if it remains unavailable. Entering your own estimates in a generator does not establish that the employer issued or reported them.

Can I fix a filed W-2 just by buying another PDF?

No. Determine the required correction process, including W-2c where applicable. Purchasing or editing a PDF does not automatically correct information already filed with SSA.

The Check Stubs Online Editorial Team reviewed the live 2025 builder, the official 2025 form and linked IRS/SSA guidance. The original example’s $62,000 − $4,000 = $58,000 reconciliation was checked separately. It assumes a particular traditional contribution treatment and is not a complete payroll-tax calculation.
