To complete a W-4 online, choose the correct year, enter your identifying information and anticipated filing status, review any applicable job, credit and deduction adjustments, then sign the certificate and give it to your employer. The Check Stubs Online builder currently supports 2026 and 2025, with guided worksheets or reviewed direct amounts for supported situations. Purchasing its PDF does not submit the W-4 to an employer or determine that you qualify for a credit, deduction or withholding exemption.
Reviewed October 29, 2026 · This guide follows the 2026 certificate and the builder’s year-specific controls. The numerical example is fictional and illustrates field units only, not the right withholding choice for any taxpayer.
Form W-4 tells payroll how to calculate federal income tax withholding using the employee’s certificate. It works best when the entries reflect the whole relevant income situation and the correct time period.
The IRS publishes Form W-4 and its instructions. This walkthrough explains the optional Check Stubs Online W-4 builder, including its worksheet choices and final PDF review. For a comparison of document purposes, see W-9 versus W-4.
What should you prepare before opening the builder?
Select the year first and gather the records behind your entries. The live builder offers 2026 and 2025. The worksheet content and exemption-year prompts change with that selection, so an older form should not be treated as an interchangeable current-year certificate.
Collect recent pay statements for the relevant jobs, including a spouse’s jobs when considering a joint-return situation. Keep any reviewed estimator output, expected nonwage income and evidence supporting adjustments available. You need enough context to distinguish an annual expectation from an amount intended for each remaining payment.
The IRS Tax Withholding Estimator lists the records it needs and situations in which withholding should be reviewed. It can be particularly helpful after a midyear change. Its result should be read with its instructions rather than copied into whichever builder box appears first.
A W-4 does not report your completed annual wages. That is a different function, explained in our W-2 preparation guide. Keep the employee’s instructions for future withholding separate from the employer’s record of wages and tax already reported.

How do you enter personal information and filing status?
Enter your name, full SSN and address. Use the name recorded for Social Security reporting, and inspect the first, middle and last-name placement on the certificate. Keep the completed form private because it contains sensitive identification information.
Choose the filing status you expect to use for the relevant return, subject to its eligibility rules. The available choices distinguish single, married filing separately, married filing jointly, qualifying surviving spouse and head of household. Do not choose a status only because it produces a preferred take-home amount.
The builder highlights that head-of-household status has specific requirements. If you are unsure of the correct status, resolve that question using the applicable IRS guidance before signing. A dropdown selection does not establish eligibility.
For nonresident-alien circumstances, the builder points to IRS Notice 1392 and says it does not apply the special nonresident adjustments. Use the appropriate instructions and process for that situation instead of assuming the ordinary worksheet covers it.
Which route should you choose for jobs and withholding?
The Jobs & withholding section separates a one-job situation, the two-jobs checkbox option and a multiple-jobs worksheet. Choose the route matching the relevant jobs, including a working spouse when the applicable joint-return rules call for it.
| Builder route | What to review | Avoid this mistake |
|---|---|---|
| One job | Whether another relevant job or working-spouse situation applies. | Ignoring income simply because it comes from another employer. |
| Two jobs: Step 2(c) | Whether the checkbox method fits the two-job situation. | Checking it on only one certificate when using this method. |
| Multiple-jobs worksheet | Annual taxable wages and the highest-paying job’s frequency. | Entering net deposits instead of the requested wage figure. |
| Reviewed estimator result | The instructions and exact fields supplied with the result. | Applying both the same worksheet result and estimator adjustment twice. |
The IRS’s redesigned W-4 FAQs explain the different multiple-job approaches. Use the current year’s instructions for the specific form. When the Step 2(c) two-job checkbox method applies, it is used on both jobs’ W-4s; it is not a general box for every situation with extra income.
The builder’s worksheet supports two or three jobs and asks for the highest-paying job’s pay frequency. It directs users to the estimator for situations such as more than three jobs, self-employment or more than one job above its stated wage range. Do not force an unsupported situation into a simpler choice.
If you already have a reviewed estimator amount, follow its entry instructions and leave the builder’s worksheet off when that is the intended route. Keep a record of the approach used so that later changes can be reviewed coherently.
Under the 2026 multiple-job instructions, complete Steps 3 through 4(b) on one job’s W-4, normally the highest-paying one. Leave those steps blank on the other jobs’ certificates. Review the combined approach so annual credits and adjustments are not repeated across forms.
How do you review dependents, credits and deductions?
Step 3: dependent and other credits
The builder lets you leave credits off, calculate from qualifying dependents or enter a reviewed annual total. For its dependent calculation, it asks for expected annual income and a confirmation that the people and credits meet the eligibility requirements.
Use the selected year’s rules. A dependent’s existence alone does not determine every credit, amount or eligibility condition. Where a reviewed total is needed, enter that annual amount in the proper field rather than using a guessed count.
Step 4(b): the deduction worksheet result
You can use standard withholding without an adjustment, enter a reviewed worksheet result or use the supported deductions worksheet. Enter the worksheet result requested for Step 4(b), not the entire standard deduction.
The live worksheet includes sections for qualified tips, eligible overtime premium, qualifying vehicle-loan interest, senior-related entries, other adjustments and itemized or applicable charitable contributions. Those labels describe categories requiring review; they do not make all tips, overtime, car interest or gifts deductible.
For overtime, the worksheet specifically asks for the eligible premium portion, not all overtime wages. Confirm the applicable rules and records before entering an amount. Likewise, check the year and treatment before placing charitable contributions in an itemized or nonitemized entry.
The tool warns that complex or phased-out deductions may need a reviewed direct result. Use that route when the guided fields cannot represent the situation accurately. For 2026 entries, consult the official 2026 W-4 packet; use the corresponding edition when selecting another year.
Other income and extra withholding
The remaining controls separate other income expected for the entire year from extra federal withholding per paycheck. Do not put annual wage income into a field labelled for other income without withholding, or assume that entering self-employment income there calculates self-employment tax.
The builder adds an optional extra-withholding entry to its multiple-jobs worksheet amount when both are used. Read the combined figure before signing so that a deliberate additional amount does not become an accidental duplicate.
How do annual amounts differ from extra withholding per paycheck?
The number’s unit is part of the instruction. An annual credit, an annual other-income amount and extra tax per paycheck cannot be substituted for one another.
In this fictional field-review example, suppose a taxpayer has already reviewed a $1,800 annual Step 3 credit figure, a $120-per-paycheck multiple-jobs worksheet result and an additional $35-per-paycheck request. The combined extra-withholding entry is $155 per paycheck: $120 plus $35. The $1,800 annual credit stays in its separate annual field.
| Entry | Fictional amount | Unit to preserve |
|---|---|---|
| Reviewed Step 3 credit total | $1,800.00 | Annual credit amount; kept separate. |
| Multiple-jobs worksheet result | $120.00 | Extra withholding per paycheck. |
| Separate additional request | $35.00 | Additional withholding per paycheck. |
| Combined extra-withholding entry | $155.00 | $120.00 + $35.00 per paycheck. |
This example does not calculate the taxpayer’s correct total withholding or final tax. It only checks the builder’s combination of two per-payment amounts. If the worksheet or estimator already includes the intended extra amount, do not add it again.

After payroll applies a certificate, compare the relevant withholding on the next issued statement. Our employee pay stub guide explains why withholding, net pay and the actual payment record should each be checked.
What if you want to claim exemption from withholding?
For a 2026 exemption claim, review both tests in the official certificate instructions: you must expect no federal income tax liability for 2026, and you must also have had none for 2025 under the instructions’ definitions. Receiving a refund or seeing little withheld does not by itself establish eligibility.
The builder asks you to confirm both conditions and leaves the specified filing-status and adjustment fields blank when exemption is selected. Review the actual certificate and renewal instructions. Do not select exemption simply to increase take-home pay.
Exemption from federal income tax withholding is distinct from Social Security and Medicare treatment. Review the applicable payroll rules separately; the W-4 selection does not turn all payroll taxes off. IRS Publication 15-T describes the federal income-tax withholding framework for employers.
How do you sign and give the certificate to payroll?
Use Draw my signature to apply your own drawing and signing date after review. If you prefer a paper signature, select Print and sign later; the PDF’s signature and date are left empty until you complete them. In either case, inspect the certificate before authorizing it.
Check every completed entry before signing the declaration. The packet includes the certificate, instructions and worksheets for the selected year. Review the certificate page and the underlying worksheet results, not just the order summary.
Employer-use fields are optional in the builder. Follow the employer’s procedure for supplying its details and first employment date where needed; do not guess an EIN or complete another person’s authorization.
Review the current PDF price and terms before ordering. After obtaining the completed document, give the signed certificate to your employer through its required process. If payroll requires its own electronic workflow, follow that workflow. Buying the PDF does not deliver it or guarantee a particular processing date.
Protect private order and saved-detail links. Keep a copy of the submitted certificate and any payroll acknowledgement. Revisit withholding when circumstances change, rather than assuming a certificate prepared for a partial year will remain suitable indefinitely.
W-4 online questions
Does the builder send the W-4 to my employer?
No. You must provide the signed certificate through the employer’s accepted process. The checkout email is for private document access, not automatic payroll submission.
Can I still claim a number of withholding allowances?
The redesigned W-4 uses dollar credits and adjustments instead of the former allowance approach. Use the correct year’s certificate and instructions rather than transferring an old allowance count into a modern dollar field.
Should I enter my full standard deduction in Step 4(b)?
No. That field takes the relevant worksheet result. The builder offers either a reviewed result or supported worksheet assistance. Standard withholding without that adjustment is a separate choice.
Will checking the two-jobs box work for any side income?
No. It is a specific two-job method with instructions for both certificates. Self-employment and more complex situations need the appropriate estimator or other reviewed approach.
Does the deduction worksheet decide whether I qualify?
No. Supply only eligible, supported amounts. The tool’s categories and calculations do not establish the underlying eligibility, and complex cases may require a separately reviewed result.
Can I download first and sign after printing?
Yes. Select the print-later route. After downloading, add your signature and date to the certificate, then follow payroll’s accepted delivery method. Ask payroll about any specific signature requirement before ordering.
The Check Stubs Online Editorial Team checked the live 2026/2025 builder, the current official certificate and linked IRS guidance. The original example verifies only $120 + $35 = $155 per paycheck; it does not calculate a taxpayer’s liability or recommend those entries.
