The Form 2106 builder is for eligible employee expense reporting, not a general deduction for every unreimbursed W-2 expense. Confirm a qualifying category first, then enter supported 2025 expenses, reimbursements and any eligible vehicle calculation. The PDF is an attachment to a separately prepared tax return; the order does not establish deductibility or file that return.
Reviewed October 29, 2026 · Final 2025 Form 2106 is enabled; 2026 is unavailable. The worked illustration assumes a qualifying fee-basis government employee and fully substantiated eligible expenses.
Use the Form 2106 employee-expense builder after resolving which expenses belong on this form. Its useful distinction is between eligible costs, applicable reimbursements and the remaining amount—not simply between a receipt and no receipt.
Which employees may use Form 2106?
The current form is limited to specified categories: Armed Forces reservists, qualified performing artists, fee-basis state or local government officials, and employees with impairment-related work expenses. Ordinary unreimbursed employee expenses do not by themselves qualify. Check the Form 2106 eligibility instructions, including the definitions and the applicable expense limits.
A job label alone is insufficient. A performer needs to satisfy the qualified-artist tests, not merely work in entertainment. A government employee must actually meet the fee-basis definition. A reservist’s special travel deduction has its own distance and expense limits. Impairment-related expenses also have a specific connection to enabling the employee to work.
The builder asks for an eligible category and confirmation that all its requirements are met. That confirmation records the user’s conclusion; it does not independently review employment contracts, income tests or the purpose of each purchase.
A self-employed person’s business costs generally follow a different reporting route. Our Schedule C preparation guide discusses sole-proprietor business reporting. Having both employee work and independent business activity requires an accurate allocation, not entering the same expense in both places.
The reviewed tool supplies the final 2025 original. Its unavailable 2026 selector should not be treated as support for a later year. Check the reporting year before applying a mileage rate or transferring totals to another return.
How should expenses and reimbursements be organized?
Build a worksheet with the date, amount, business purpose, source document, category and reimbursement treatment of each cost. Keep personal spending and commuting outside the eligible expense totals. Separate meals from other costs because they receive different treatment in the supported calculation.
The interface has distinct entries for parking/tolls and nonovernight transportation, overnight travel excluding meals, other eligible work expenses, and meals before the supported 50% limit. Those labels help prevent a meal from being included once in a hotel total and again in the meals box.
Review reimbursement records alongside the relevant Form W-2. The tool asks for applicable reimbursements, including relevant Box 12 code L amounts, while excluding reimbursements already included in Box 1 wages. Our W-2 record guide explains why wage and code fields need separate review.
If one payment covers meals and other expenses, establish its allocation under the official rules before entering the two reimbursement fields. Do not place the entire payment into whichever column gives the larger remaining deduction.
The IRS’s Publication 463 on travel, gifts and vehicle costs discusses records, reimbursements and business-use limits. Preserve the supporting itinerary, mileage log and receipts when applicable. A bank statement can show a payment without establishing its business purpose.

What belongs in the vehicle section?
Enter the service date and actual annual, business and commuting mileage for each supported vehicle. The annual total includes personal use; it is not automatically the number eligible for a deduction. The original form also asks about personal availability, another personal vehicle and supporting evidence.
The 2025 standard business mileage rate is 70 cents per eligible mile. The IRS announcement of the 2025 mileage rate identifies that year-specific rate. A published rate does not remove the employee-category restrictions.
Standard mileage has method-history conditions. For an owned vehicle, the initial business-use-year choice matters; leased vehicles have consistency rules. The builder requires confirmation of eligibility. Do not select the method only because multiplying miles is simpler than assembling actual costs.
For each vehicle, choose one eligible method. Standard mileage cannot be combined with a second claim for the same vehicle’s operating expenses or depreciation. Eligible parking and tolls have their separate treatment. Commuting remains personal mileage even when a driver carries ordinary work materials.
The tool supports one or two vehicles. More vehicles or a fact pattern outside the supported inputs need the additional original-form procedure and appropriate attachments. A single column should not merge vehicles with different service dates or method histories.
How do reimbursements change a fictional $3,500 expense record?
Assume a fictional state or local government employee genuinely qualifies as a fee-basis official. All listed costs relate to that job and satisfy the applicable business, travel and substantiation requirements. The employee is eligible to use standard mileage for their owned vehicle in 2025. No special meal exception or other limitation changes the calculation below.
The log shows 12,000 annual miles: 2,400 eligible business miles, 4,000 commuting miles and 5,600 other personal miles. These sum to 12,000; the business-use percentage is 20%. Only the 2,400 business miles enter the standard-mileage calculation.
| Reviewed component | Amount | Calculation or assumption |
|---|---|---|
| Standard-mileage vehicle expense | $1,680 | 2,400 eligible miles × $0.70. |
| Eligible parking and tolls | $120 | Business costs; no commuting costs. |
| Eligible overnight travel, no meals | $1,000 | Qualifying travel assumed. |
| Other eligible job costs | $300 | No amount repeated elsewhere. |
| Nonmeal expense subtotal | $3,100 | $1,680 + $120 + $1,000 + $300. |
| Applicable nonmeal reimbursements | $900 | Not already in W-2 Box 1. |
| Remaining nonmeal amount | $2,200 | $3,100 − $900. |
| Eligible meals before limitation | $400 | Separate from overnight travel above. |
| Applicable meal reimbursements | $100 | Properly allocated; not in Box 1. |
| Remaining meals after 50% limit | $150 | ($400 − $100) × 50%. |
| Illustrative combined result | $2,350 | $2,200 + $150. |
The original eligible spending totals $3,500, but that is not the final result. Applicable reimbursements reduce the separate columns, and the meal limitation is then applied to the remaining meal amount. The employee cannot deduct both the reimbursed cost and the same unreimbursed balance.
If the $900 nonmeal payment had already been included in Box 1, it would not belong in the same reimbursement entry used here. Resolve the W-2 treatment first rather than copying the example’s numbers without its assumptions.
Under the assumed fee-basis-official qualification, the relevant result connects to Schedule 1’s employee-business-expense adjustment. The example establishes arithmetic, not someone else’s category eligibility or exact income-tax saving.

What needs review when actual vehicle costs are used?
The actual-cost route asks for operating expenses and the applicable ownership, lease or employer-provided-vehicle information. Business use still needs a supported allocation. For a leased vehicle, review any required inclusion amount instead of assuming the full rental payment is deductible.
Depreciation needs more than a purchase price. The optional section asks for basis, current and prior elections, remaining unrecovered basis, method, rate and the applicable annual limit. The user must establish those entries from the original instructions and depreciation records; the calculator does not choose a valid election from cost alone.
A passenger-auto limit depends on facts such as service year and additional first-year depreciation treatment. The form’s 2025 prompts should not be copied to an older vehicle without consulting its applicable table. Employer-provided annual lease value also has its own W-2 condition.
Keep an audit trail showing which method applies to each vehicle and why. A correct percentage multiplied by an unsupported basis still gives an unsupported deduction.
Where does the completed Form 2106 result go?
The destination depends on the qualifying category. Certain eligible employee expenses feed the Schedule 1 adjustment, while impairment-related expenses have a different itemized-deduction route. Do not transfer every Line 10 amount to the same place.
Use the category-specific official instructions and our Schedule 1 preparation walkthrough when that adjustment applies. The separately prepared Form 1040 return must reflect the proper supporting schedule and any further limits.
The two-page 2025 IRS original contains the expense/reimbursement calculation and vehicle detail. It has no separate taxpayer signature line. Signing and filing the main return remain separate tasks.
What should be checked before downloading?
Compare the PDF with the category determination, receipts, mileage records and W-2 reimbursement treatment. Confirm that meals are separate, personal miles remain excluded, the expense method is consistent and no expense appears twice.
Review both original pages and every vehicle column used. Check names and the tax identifier privately. Answer evidence questions truthfully; choosing “No” does not make an inadequately supported vehicle deduction allowable.
Read the current price and preview before checkout. Blank official forms can be obtained directly from the IRS without buying a prepared PDF. The builder does not submit the return, determine the final income-tax outcome or pay any tax.
Form 2106 preparation questions
Can an ordinary W-2 employee deduct every unreimbursed work receipt here?
No. The limited eligible categories and expense requirements must be satisfied first.
Does the 70-cent rate cover commuting in 2025?
No. The example uses eligible business miles only; commuting and other personal miles remain excluded.
Can mileage and actual vehicle expenses both be claimed for the same use?
Choose the eligible method and follow its rules. Do not duplicate operating costs or depreciation already represented by standard mileage.
Why is the $400 meal amount reduced to $150 in the example?
The assumed $100 applicable reimbursement leaves $300, and the supported ordinary 50% limit produces $150.
Does the PDF include my complete tax return?
No. It prepares the supported Form 2106 attachment. The main return, other required schedules and filing are separate.
The Check Stubs Online Editorial Team reviewed the enabled 2025 inputs and relevant IRS expense guidance. The original fee-basis-official illustration checks 2,400 × $0.70 = $1,680 and $2,200 + ($400 − $100) × 50% = $2,350, with eligibility and substantiation assumed explicitly.
