Form 8809 requests more time to file specified information returns; the online builder only prepares the request PDF. Identify the return category, filing method and whether the request is automatic or nonautomatic. It does not extend recipient-statement deadlines or grant an extension by itself.

Reviewed October 29, 2026 · The tool uses the December 2025 revision. The dated example describes a hypothetical timely request during the 2026 filing season, whose deadlines have already passed.

The 8809 information-return extension builder helps organize the filer identity, return selections and supported justification. Use it after the deadline and request type have been established, rather than treating every extension as the same automatic process.

Which deadline does this form address?

Start by naming the obligation: filing the information return with the relevant agency, furnishing a statement to the recipient, filing the business’s income-tax return, or paying tax. These are separate tasks, even if they use some of the same records.

The official Form 8809 and its instructions concern supported information-return filing extensions. They direct individual income-tax extension users to Form 4868 instead. A payroll deposit deadline is also not extended by preparing Form 8809.

For example, an employer preparing wage statements still needs to manage employee furnishing and payroll tax obligations. Our W-2 preparation guide explains the wage-statement packet; the extension request does not complete that packet or pay withholding.

Build a deadline register with one row per obligation. Add the return year, filer, form type, original agency due date, recipient deadline, request route and status. This prevents one extension receipt from being treated as blanket permission to delay all related work.

Which requests need more than an initial automatic extension?

The tool separates initial requests from requests for additional time. It specifically identifies W-2 and 1099-NEC requests, and additional-extension requests, as nonautomatic paths requiring applicable justification and a signature.

A permitted initial automatic extension is generally thirty days when requested properly and on time. “Automatic” describes the qualifying official request; it does not mean a downloaded private PDF has been submitted or acknowledged.

W-2 or 1099-NEC requestNonautomatic, supported justification and signature.Signed paper submission; approval is not assured.

1099-QA or 5498-QACheck the category’s specific current instructions.Do not assume an ordinary online automatic route.

The current IRS extension topic specifically flags W-2, 1099-NEC, 1099-QA and 5498-QA as unavailable for automatic extensions and directs those requests to paper. Check the category-specific guidance when using QA selections; a visible checkbox does not settle the request rules.

Because category and service instructions change, follow the relevant current official route rather than assuming every information-return checkbox shares the 1099-INT example’s treatment.

How does a timely initial 1099-INT request work in the historical example?

Consider a fictional payer preparing 2025 Forms 1099-INT for electronic filing in 2026. Assume the ordinary March 31, 2026 agency filing date applies, with no special relief or other exception. The payer determines it needs more time and makes a proper initial request before that date.

Thirty days after March 31 is April 30, 2026. Under the stated initial-extension assumptions, that is the extended agency-filing date. The clock does not start on the day the payer purchases a PDF.

These dates describe a past timely-request scenario. An application prepared in October 2026 cannot retroactively convert an unfiled March request into a timely one. Resolve an already missed deadline under the appropriate current procedure.

Our 1099-INT guide covers the actual interest-statement fields. The statement’s amounts, the extension’s filer identity and the official submission records should agree, but they remain different documents.

Historical fictional 2025 1099-INT electronic-filing example has a March 31 2026 original deadline, requires a proper timely initial request, and reaches April 30 2026 after thirty days; recipient furnishing remains separate.

Does Line 4 count payers or recipient returns?

It counts the payers or filers covered by an applicable consolidated request. It is not the number of recipient statements being prepared, the number of selected categories or the number of documents in the download.

For a separate fictional count, assume two legally distinct payers need an eligible consolidated request for the same return category and filing method. Payer A has nineteen recipient returns and Payer B has eight. Together there are twenty-seven underlying returns but only two payers.

The consolidated filer count is therefore two under those assumptions, not twenty-seven. The separate typed attachment must identify both payer names and TINs. The tool does not generate that attachment.

If each payer instead files its own individual Form 8809, leave Line 4 blank as directed. Do not enter one merely because an individual request concerns one business.

Use the payer’s legal identity and number, not a recipient’s identifier. A preparer’s contact email can be useful for correspondence but does not replace the client filer’s legal name.

In the separate consolidated-request example, nineteen returns for payer A plus eight for payer B equals twenty-seven recipient returns, but Line 4 counts two payers, with the required typed name and TIN list prepared separately.
The number of underlying recipient returns is a different count from the number of filers.

Why does selecting electronic returns not always mean an electronic request?

The builder’s filing-method choice describes how the underlying information returns will be filed. A nonautomatic request can still require signed paper even when those returns will eventually be electronic.

Use a separate Form 8809 for each underlying return-filing method where the instructions require it. Do not select paper simply to avoid an electronic-filing obligation that applies independently.

Current IRS Publication 1099 explains information-return procedures and available official services. Confirm the service applicable to the actual filing year and request type rather than using an older portal instruction uncritically.

A single request may cover eligible categories with different deadlines, but the earliest applicable due date controls that combined request. Preparing separate requests can keep those deadlines clearer; it does not change any original due date.

A recipient-statement extension has its own procedure. Record it as a separate task instead of assuming the agency-filing request automatically covers recipients.

How should the justification and signature be reviewed?

For the tool’s nonautomatic paths, select only criteria supported by the filer’s actual circumstances. The listed categories include specified disasters, serious illness or absence, casualty, first year of establishment and unavailable payee data.

A criterion is not a generic explanation to select whenever paperwork is inconvenient. Keep the factual record showing what happened, when it happened and why it affected timely filing. Do not invent an event to unlock the signature section.

For an additional request, retain evidence of the prior automatic extension and review the deadline before it expires. Repeatedly downloading an initial form does not create an additional extension.

The supported signature options are drawing the actual authorized signer’s signature or leaving the line for printing and signing. Review the certification and date. The buyer and authorized filer representative may be different people.

An eligible initial automatic request does not require a signature under the original form instructions. That distinction does not remove the need to submit the request properly and retain evidence.

What should be retained after preparing the packet?

Review both original pages, selected categories, filer identity, method, count, prior-extension status and any required signature. Confirm that the download describes the intended request and that necessary typed lists or records are ready separately.

Check the current preview and price before ordering. Official blank forms are available from the IRS. A document-preparation receipt establishes a purchase, not agency approval or acknowledgment.

Submit through the current permitted official route by the applicable due date. Save the final request, submission evidence, any acknowledgment and the revised deadline register. Continue preparing the underlying returns so they can be filed when ready.

Form 8809 preparation questions

Does this extend an individual Form 1040 return?

No. The individual-return extension uses a different form and process.

Are W-2 and 1099-NEC extensions automatic?

No. Review their nonautomatic requirements, applicable criteria and signed paper route.

Does Line 4 show the number of recipient returns?

No. The fictional two-payer example has twenty-seven returns but a consolidated payer count of two.

Are recipient deadlines extended too?

No. They require their own applicable procedure.

Does buying the PDF submit the request?

No. Official submission and evidence remain separate.

The Check Stubs Online Editorial Team reviewed the extension builder and current IRS procedures. The historical example checks March 31 plus thirty days equals April 30, 2026; the separate count distinguishes nineteen plus eight recipient returns from two payers.
