The W-7 online builder prepares an ITIN application from your answers; only the IRS can issue the number. First confirm that an ITIN is appropriate, then match the application to the required return or documented exception and identity evidence. Downloading the form does not authenticate documents or submit an application.
Reviewed October 29, 2026 · The builder uses the December 2024 W-7 revision for supported applications. Eligibility, supporting documents and tax-benefit rules require their own current review.
The W-7 ITIN application builder is useful for organizing the application fields and reviewing a legible PDF before signing. Treat it as one component of an application package, rather than an online number-issuance service.
When is an ITIN application appropriate?
An ITIN serves a federal tax identification purpose for an individual who is not eligible for a Social Security number. The IRS ITIN overview explains the purpose and limits: the number does not authorize employment, change immigration status or create entitlement to Social Security benefits.
The first builder question asks about having, qualifying for, or awaiting an SSN. Resolve that question before entering a passport number or selecting an application reason. A pending SSN application is not a reason to obtain a second identification number through W-7.
A business EIN is a different identifier. Our SS-4 EIN guide explains the business application route; possessing an EIN does not determine whether an individual needs an ITIN.
Do not infer tax residency from citizenship, a mailing address or a single arrival date. Establish the correct tax classification separately, including any applicable day-counting exceptions. The builder records the reason selected; it does not decide the underlying residency test.
Likewise, an application reason is not proof that a specific credit can be claimed. Year-specific credit requirements, dependent rules and identification deadlines remain part of the return review.
How would a fictional applicant organize the work?
Assume Mina has a genuine federal filing obligation and has already established that she is a resident alien for the relevant return year, cannot obtain an SSN, has no pending SSN application and has never received an ITIN or IRSN. Those are assumptions for this preparation example, not conclusions drawn from her name or nationality.
Mina is applying for herself, not as a dependent, and will include her actual federal return rather than claim an exception. She has an unexpired passport and the necessary original or issuing-agency-certified documentation for the chosen submission route.
| Question | Example record | Preparation decision |
|---|---|---|
| SSN eligibility and pending status | No eligibility; no pending application assumed. | Continue the ITIN preparation route. |
| Prior ITIN or IRSN | None previously assigned. | New application, not renewal. |
| Reason | Resident alien filing a federal return. | Select the corresponding reason under the established facts. |
| Return or exception | Actual required return included. | Do not invent an exception designation. |
| Evidence and signature | Proper identity documents; applicant signs after review. | Keep these steps separate from PDF preparation. |
The example does not produce an ITIN, a processing deadline or an approval prediction. It shows a sequence: eligibility first, application details second, evidence and submission last.
If Mina instead learns that she qualifies for an SSN, the first decision changes and this example no longer applies. If she discovers an old assigned ITIN, she should resolve that record rather than describe herself as a first-time applicant.

How should the application reason and tax return be connected?
The tool distinguishes a new application from a renewal and provides the supported reason choices. Select the reason that matches the applicant’s established circumstances. A student, spouse, dependent and nonresident claiming a treaty benefit can require different supporting information.
A treaty-based path requires the actual treaty country, article and applicable exception evidence. Do not choose a treaty or exception merely because it reduces the number of fields. The tool also exposes additional information when the selected reason requires it.
The IRS application-package guidance generally connects W-7 with a federal income tax return unless an exception applies. It explains the separate applicant forms and official application channels.
Check the return and W-7 as a pair. The taxpayer identity, filing position and reason should describe the same person and situation. A polished application attached to the wrong return does not solve that mismatch.
Our Form 1040 guide covers the main individual-return builder. Use the correct return type for the actual taxpayer; this W-7 article does not determine whether Form 1040 or another return is appropriate.
Which identity fields need particular attention?
Use the applicant’s current legal name and the separate birth-name fields when applicable. Match spelling, dates and citizenship details to the supporting documents. A difference that seems cosmetic in a preview can create uncertainty about whose evidence accompanies the application.
Complete mailing and foreign-residence information separately. The tool explains the latest foreign residence and last-foreign-country paths. Do not replace a required foreign residence with a P.O. box simply because it receives mail.
Review visa information, entry details and foreign tax identifiers from the actual records. An entry date is not the same as a visa-issuance date, passport-expiration date or the date the application is downloaded.
For a previous ITIN or IRSN, preserve the earlier number and the name under which it was issued. A renewal is not a request for a new identity. Check whether renewal is actually needed for the intended return use; merely continuing to appear on a third-party information statement can be different.
Keep an identity reconciliation sheet listing each application field beside its source document. Use it privately rather than placing full identification numbers into ordinary support messages or shared screenshots.
What must happen beyond entering document details?
The builder captures the first identification document’s details. When additional documents are needed, its instructions call for a separately identified W-7 attachment. Typing a document number does not attach the document or establish that it has been authenticated.
The official W-7 instructions distinguish original documents from issuing-agency-certified copies. A passport can establish identity and foreign status, but certain dependent applications require additional U.S.-residency evidence when the passport does not show entry.
Do not treat an ordinary photocopy, a notarized copy and an issuing-agency-certified copy as interchangeable. Confirm the correct evidence and application route before mailing important original documents.
A practical final review checks whether the document remains valid, whether its name and birth details match the application, and whether the submitted evidence covers every required category. The tool does not perform those checks for the applicant.
If someone helps with the application, distinguish general preparation assistance from an IRS-authorized acceptance-agent role. The builder’s acceptance-agent section is for an actual authorized agent’s information; it does not confer that status on the buyer or preparer.
How can several applicants share one return without sharing one W-7?
Consider a separate fictional household: one spouse already has a valid SSN; the other spouse and two children need ITIN applications. Assume every applicant independently meets the relevant eligibility and allowable-benefit conditions. The illustration does not establish those conditions or promise any family credit.
There are three ITIN applicants: one spouse plus two children. Prepare three individual W-7 applications, not one application containing three people. Under an applicable shared-return submission, those applications accompany the one relevant return.
| Person | Assumed situation | W-7 applications |
|---|---|---|
| Spouse already identified | Valid existing SSN. | 0 |
| Applicant spouse | Independently eligible under the assumptions. | 1 |
| Two applicant children | Each independently eligible with required evidence. | 2 |
| Total applicants | Three separate application records. | 3 |
Keep each person’s identity evidence, reason, previous-number answers and signature authority distinct. An adult’s document set does not automatically meet a child applicant’s additional requirements.

What remains after the application PDF is ready?
The complete original W-7 is one page. The tool leaves applicant and acceptance-agent signature/date lines blank for the required original signing process. Review the printed form before signing rather than assuming checkout completed the application.
When a parent, guardian or representative signs, confirm the actual authority and required documentation. Selecting a delegate relationship in a builder does not create a power of attorney or guardianship.
Use the current IRS instructions for mailing or an appropriate in-person channel. Available help and document-authentication capabilities differ among IRS centers and acceptance agents. Read the official comparison before choosing a route.
Check the tool’s current preview and charge before purchasing. Blank W-7 forms are available from the IRS; a private preparation charge is not an IRS number-issuance fee. Keep a secure copy of the final package and submission record.
W-7 preparation questions
Does checkout issue an ITIN immediately?
No. The tool prepares a PDF; the IRS reviews the submitted application and issues the number when appropriate.
Can W-7 replace an available Social Security number?
No. Resolve SSN eligibility and pending applications before using the ITIN route.
Does one application cover a whole family?
No. The fictional three-applicant example needs three individual W-7 forms.
Does a passport number in the PDF replace supporting evidence?
No. The required evidence must be provided through the proper application process.
Does an ITIN prove employment authorization?
No. It serves a federal tax identification purpose.
The Check Stubs Online Editorial Team reviewed the supported W-7 preparation fields and current IRS application guidance. Both fictional cases state their eligibility assumptions; the household count checks one applicant spouse plus two applicant children equals three separate applications.
